Understanding Lead Times, Speed, and Better Planning at Topiku

One of the most common questions we get from new clients is some version of: "How long does this actually take?"

It is a fair question, and we want to give it a straight answer because understanding our lead times is not just logistical information. It is the difference between a smooth order and a stressful one, and between merchandise that arrives on time and merchandise that doesn't.

Here is how our process works, what affects the timeline, and how to plan an order with us so everything arrives when you need it.

The three ways to order from Topiku

We offer three distinct programs, each built for a different kind of buyer:

Classic is our signature program, fully customized hats made from upcycled and recycled materials, hand-assembled by our artisan partners in Cigondewah. Because each hat is made to order with your specifications, this program takes the most time. Plan for 60 to 90 days from order confirmation to delivery. This is the right option if you have lead time to work with and want the full Topiku experience.

Expedited is designed for teams under time pressure. We maintain a stock of pre-made hat bases in core styles and materials, which means your branding goes on a hat that is already partially complete. This brings the timeline down significantly typically 3 to 4 weeks. The trade-off is slightly less flexibility on customization, but quality and materials remain the same.

Blank is exactly what it sounds like: unbranded, undecorated Topiku hats ready to ship. If you have your own embroidery or printing partner, or you want hats available immediately without decoration, blanks can ship within days of your order.

What affects lead times

A few things can extend or compress any timeline, and it helps to know them upfront.

Order complexity is one of the biggest variables. A single color, a single style, a simple embroidery design that is a straightforward production run. Multiple colorways, special materials, woven labels, or unusual branding techniques add time at every stage. The more complex the spec, the more important it is to start the conversation early.

Approvals and revisions also add time that clients do not always account for. We send digital and, where needed, physical samples before production begins. If the first sample requires changes, that takes time. Building that round into your project plan rather than treating it as a surprise keeps things on track.

The shipping method matters more than most people expect. We prioritize sea freight wherever possible because it significantly reduces the emissions footprint of each order. Sea freight takes longer than air, but if your timeline allows for it, it is both the better environmental choice and the lower-cost option. If you need air freight, we can accommodate that, just let us know upfront so we can plan accordingly.

What we can't rush

There are parts of our process we will not compress regardless of timeline pressure. Sample approval is one of them. We will not skip the sample stage to speed up delivery, it is there because getting the product right matters more than getting it fast. Our artisan partners in Cigondewah also work at a pace that is consistent with quality craftsmanship and fair working conditions. We do not push production faster by pushing people harder.

What we can do is help you plan so that rushing is rarely necessary. That is the honest version of speed: not moving faster than quality allows, but starting early enough that quality and timeliness are not in conflict.
